POSITION OBJECTIVE
The Research Program Manager will work closely with the Vice Dean for Research & Innovation to identify and implement strategies that will enhance and grow the overall research enterprise for the School of Medicine and the Vice Dean’s office. Your responsibilities will include overseeing interdisciplinary research teams and facilitating their collaborative interactions, coordinating large multi-PI grant submissions (P01, U01, SPORE, etc.), and developing, implementing, and overseeing the generation of new SOM pilot funding opportunities. You will also work with and support members of the SOM innovation and entrepreneurial team to identify and advance novel technologies and potential therapeutics towards commercialization. You will interact with a diverse group of individuals at the university and work closely with the Vice Dean for Research and SOM leadership to achieve the research initiatives and objectives described in the strategic plan of SOM. Doing so may involve overseeing policies, analyzing data, facilitating group discussions, managing facilities and equipment, and supporting information technology initiatives.
ESSENTIAL FUNCTIONS
- Serve as a scientific liaison between SOM, Department Chairs and Center Leaders, the faculty, Interdisciplinary Working Group Leaders (WGLs), and SOM administrative staff to coordinate and advance new research opportunities and activities, particularly large multi-PI grant submissions. This will require a strong foundation in the science involved in these groups, cross-disciplinary activities, and an expert understanding of the mechanisms needed to meet the research objectives. Associated functions will be aimed at facilitating research meetings and retreats, assisting in grant preparation, submission, and post-award research coordination (resource and project management; production of scientific summaries). Develop strong working relationships with SOM Leaders, Department Chairs and Center Leaders, and WGLs, including meeting with such leaders on a routine basis to discuss strategic goals of the SOM(RA) Research Programs and Scientific Pillars. Develop agendas (in conjunction with the Vice Dean for Research and SOM Leaders) for Research Program meetings and Working Group meetings; write initial outlines/drafts reporting on Program and Working Group activities.
- Serve as a key team member with SOM faculty, Center Leaders, and Department Chairs to manage interdisciplinary and multi-institutional applications,) in the development and writing of grant proposals and applications within School of Medicine including compiling budget preparations and justifications, composition of facilities and resource materials, collection of investigator biosketches and letters of support, and assistance in preparing required regulatory documents (IRB, IACUC, etc.). Read and interpret RFPs and funding guidelines from government agencies and foundations to develop and implement processes on how to best to respond and meet submission deadlines. Assist in compiling, organizing, and formatting grant proposals, and in editing and organizing proposals written by other SOM faculty. (10%)
- Provide management and policy assessments related to the operational activities of Centers and Cores, as well as liaise with SOM administrative leaders (Finance, Facilities, HR, OG&C, Development, and Dean’s Leadership team) to ensure that the research mission of the strategic plan is attained. (20%)
- Research new areas of innovation, develop contacts within and outside the university, assist with the design of new areas of research entrepreneurship (5%)
- Develop presentations and materials to showcase SOM opportunities and strategic plans, provide information and coordinate efforts with SOM faculty, administrators, trainees, and staff. (5%)
- Provide consultation and guidance to inexperienced investigators in navigating complex funding application processes at various government agencies including NIH, DoD, ARPA-H. (5%)
- Independently research, prioritize and follow-up on multiple incoming issues and concerns addressed to Research Administration, including those of a sensitive and/or confidential nature. Advise in the understanding and interpretation of University policies and procedures, as appropriate, and ensure that Department operations are in compliance with policy provisions and standards from the institution.(10%)
- Develop and manage new databases and resources to track research metrics (grant funding, publications, intellectual property, etc.). (5%)
- Track and manage project funding and schedules. (5%)
- Assist in the policy creation and implementation of compliance requirements from the federal, state, and university/school level. (2%)
- Assist in the development and implementation of a space management system for Departmental and researcher assignments based on the Dean’s criteria by working closely with the Associate Dean of Space and Facilities Planning. Responsibilities will include preparing accurate data and drawing files from legacy systems for integration, new system training, annual preparation for inventory process, departmental interviews, data compilation and review. (15%)
NONESSENTIAL FUNCTIONS
- Attend University and School of Medicine training and information sessions to keep up to date on policies and procedures. Identify training and educational resources in the School of Medicine, the University, and elsewhere.(5%)
- Become knowledgeable about University and School of Medicine mission and strategic plans.(3%)
- Perform other duties as assigned(2%)
- Coordinate and oversee symposia and conferences. (3%)
CONTACTS
Directors and Associate Deans; determining project assignments and work flow with the Vice Dean for Research; facilitating projects, presenting opportunities, coordinating work processes, and developing new programs with department faculty/staff; facilitating projects and coordinating work processes with team members.
University: Communicate with the Dean’s office, Finance & Planning, Grants & Contracts, Technology Transfer, Space and Facilities, and other administrative offices to facilitate cooperation between interdisciplinary groups, coordinate communication in order to achieve research and operational objectives.
External: Work with University Hospitals, Cleveland Clinic, Metro Health Medical Center, and Veterans Affairs Medical Center to coordinate research projects, proposals, and initiatives. Occasionally, reach out to other universities or centers for information and to address concerns or problems. Also present and support research collaborations with government and funding agencies, not-for-profit organizations, and industry.
Students: infrequent contact with students
SUPERVISORY RESPONSIBILITIES
This position has no direct supervision of staff employees. However, performance feedback will be requested as it relates to individuals serving on committees this position directs.
QUALIFICATIONS
Experience: Master’s degree and a minimum of 5 years of related experience required; or PhD, MD, or other terminal degree and 0 or more years of experience required. Degree in biomedical or population-based disciplines and demonstrate expertise in basic or translational research, epidemiology, or other relevant fields preferred. Experience in writing manuscripts for publication and grant applications. Prior experience in writing clinical protocols is desirable.
REQUIRED SKILLS
- Excellent verbal and written communication skills with demonstrated knowledge of accepted scientific/medical writing standards and editing ability
- The candidate should have the ability to critically review scientific data to find both weaknesses and strengths.
- Demonstrated working knowledge of computer and multimedia skills to include word processing; presentation, editing and graphics software; citation libraries; intranet-based applications; and database management is desirable.
- The candidate will have the ability to work collaboratively in a team environment, interacting intelligently and effectively with people of varied and diverse backgrounds.
- The ability to deal with numerous tasks simultaneously, prioritizing workload and producing accurate and scientifically correct material within established deadlines is essential.
- Knowledge of research subject regulatory requirements and processes as well as training in these areas (e.g. CITI, biological resources) is a plus.
- Demonstrated ability to develop and implement complex programs requiring inter-departmental and inter-institutional interactions.
- Strong organization skills; ability to multitask, prioritize and meet deadlines. Must demonstrate attention to detail and accuracy, time management skills, and follow-through.
- Ability to work effectively both independently and collaboratively within a team. Must be highly motivated, responsible, dependable and self-directed. Must demonstrate the ability to take initiative and the capacity to learn quickly.

Work environment includes exposure to lab areas and general administrative office work. Utilization of computers on a regular basis.
